The Faculty of Public Health (FPH) of the Universitas Indonesia (UI) has implemented an integrated Quality Management System combining ISO 9001:2015 and ISO 37001:2016 since 2022. To ensure the sustainability of this implementation within the faculty’s business processes, FPH UI regularly conducts an Internal Quality Audit (AMI) every year before undergoing surveillance from the two certifying bodies.
To prepare for the Internal Quality Audit (AMI), from September 10 to 11, 2024, the Non-Academic Quality Assurance Unit (UPMNA) organized a training and workshop on auditing, which was attended by 23 administrative staff members. The training and workshop aimed to raise awareness about the comprehensive implementation of ISO standards. The training involved not only administrative staff from the units under the Faculty Administration Center but also staff members from seven departments. This approach was taken to ensure that all parties—departmental administrative staff—not only follow existing procedures but are also actively involved in providing feedback and information on the implementation of Standard Operating Procedures (SOPs) that may need further development to improve faculty services. The trained administrative staff are expected to serve as auditors during the AMI scheduled for October 2024.
The training and workshop were opened by Dr. Milla Herdayati, S.K.M., M.Si., Vice Dean for Resources, Ventures, and General Administration. “This training is organized to equip and refresh participants on what needs to be prepared for the ISO 9001:2015 and ISO 37001:2016 surveillance audits. I would like to welcome all the future internal auditors who will contribute to the success of this year’s Internal Quality Audit and surveillance audits,” said Dr. Milla Herdayati, Vice Dean for Resources, Ventures, and General Administration, in her opening remarks.
The training facilitators, Muhammad Hatta Adam and Alief Maulana, delivered materials on understanding ISO 9001 (SMM) and ISO 37001 (SMAP), internal quality audits, and led workshops (FGD and sharing of FGD results), as well as role-playing for the Internal Quality Audit. Most participants, who were attending such training for the first time, showed enthusiasm and eagerness during the sessions. This was evident in the FGD and role-play activities related to the Internal Quality Audit, which were conducted in an engaging and interactive manner. The results of the pre-test and post-test showed a significant improvement in the participants’ understanding. The three fastest and highest-scoring participants in the post-test on the first day received E-Money vouchers (Anandani Difratia Prihabida, Siti Nur Sarah Sudrajat, and Mahannie Tamimah), and the top three participants on the second day were awarded books by the facilitators (Annissa Fariidah Nur Ainni, Siti Nur Sarah Sudrajat, and Anisa Islaminia).
One participant, Annissa, an administrative staff member at ULF, stated, “This training was interesting, interactive, and provided valuable tips and tricks for conducting audits. Through this training, we gained new knowledge and understanding of the integrated ISO SMM and ISO SMAP at FPH UI.”
The integrated Quality Management System implemented at FPH UI has proven to be a major asset in sustaining the faculty’s business processes and plays a crucial role in the efforts to achieve the Integrity Zone WBK (Corruption-Free Zone) and progress toward WBBM (Clean and Serving Bureaucratic Region). -sf-
